1. Who we are

NXT Workforce Limited provides digital marketing, sales support, customer service, outsourcing and technology services. When you give us personal information directly, NXT Workforce Limited is responsible for deciding how that information is used for the purposes described in this policy.

2. Information we collect

Depending on how you interact with us, we may collect your name, company name, email address, phone or WhatsApp number, service interests, industry, enquiry details, audit requests, newsletter preferences and information you provide during a client relationship.

When you use our website, technical information may also be generated, such as browser type, device type, pages viewed, referral source and general interaction information. We only use optional analytics or marketing technologies where our configuration and your choices allow this.

3. How we use your information

We may use personal information to respond to enquiries, arrange consultations, deliver requested audits, prepare proposals, provide services, manage client relationships, keep records, improve our website and services, maintain security and send business updates where appropriate.

We may also use enquiry information to create or update a lead or customer record in our CRM so that your conversation, next action and relevant history are not lost.

4. Why we use your information

We use personal information only where we have an appropriate reason to do so. This may include responding to steps you ask us to take before a contract, performing a contract, meeting legal or regulatory obligations, pursuing legitimate business interests such as managing enquiries and improving services, or using consent where consent is required.

5. Cookies and analytics

Our website may use essential cookies that are necessary for site functionality. We may also use analytics or advertising tools to understand website performance, traffic sources and conversions. Where optional cookies require a choice, visitors should be able to accept or decline them.

Our final live configuration may include services such as Google Analytics, Search Console, Microsoft Clarity, LinkedIn Insight Tag or Odoo website analytics. The tools actually enabled on the live website should match the cookie choices shown to visitors.

6. Email, WhatsApp and SMS

The NXT Workforce newsletter and NXT Business OS product updates have separate signups. We store your email address, signup date and consent notice for the list you choose. NXT website administrators can see the lists. To leave either list, email hello@nxt-workforce.com with the name of the list.

If you contact us, request information or ask us to follow up, we may respond using the contact method you provide. This can include email, phone, WhatsApp or SMS. We do not need anonymous website visitors' phone numbers and we do not send personal messages to a visitor unless they have provided contact details or otherwise started the conversation.

If we send ongoing marketing communications, you can ask us to stop at any time using the unsubscribe option provided or by contacting us.

7. Who we may share information with

We may use trusted service providers that help us operate the business, such as website hosting, CRM, email, messaging, analytics, cloud storage, accounting or IT providers. They should only receive the information needed for the service they provide.

We may also disclose information where required by law, regulation, court order, professional advisers or to protect the security and rights of NXT Workforce, our clients or other people. We do not sell personal information to advertisers.

8. International processing

NXT Workforce serves clients in Zimbabwe, the United Kingdom and other markets. Some technology providers or project teams may process information in another country. Where personal information is transferred internationally, we aim to use appropriate safeguards and reputable providers.

9. How long we keep information

We keep personal information only for as long as it is reasonably needed for the purpose it was collected, including responding to enquiries, maintaining client records, meeting legal or accounting requirements, resolving disputes and protecting legitimate business interests. Retention periods can vary depending on the type of record.

10. Security

We use reasonable organisational and technical measures to protect information from unauthorised access, loss, misuse or disclosure. No website or digital system can be guaranteed to be completely secure, so we also review access, software and operating processes as the business changes.

11. Your choices and rights

Depending on the laws that apply to you, you may have rights to ask for access to personal information, correction of inaccurate information, deletion in certain circumstances, restriction or objection to some uses, withdrawal of consent where consent is the basis, or a copy of information in a portable format where applicable.

You can also ask us to stop sending marketing communications. We may need to confirm your identity before acting on a request.

12. Children

Our business website and services are intended for organisations and adult business users. We do not knowingly design the website to collect personal information from children.

13. Changes to this policy

We may update this policy when our services, technology or legal obligations change. The latest version will be published on this page with an updated date.
