Speed matters

When someone submits a form, the problem is fresh in their mind and they may be contacting other businesses too. Respond the same day, and as quickly as practical.

1. Send an instant confirmation

  • Thank them for reaching out
  • Confirm the message was received
  • Explain when and how a person will respond

2. Log the lead immediately

Put the enquiry in the CRM with contact details, what they asked about and where they came from. Do not rely on somebody remembering.

3. Make personal contact

Call, email or message the person and refer to what they actually wrote. Ask what made them reach out, what they have tried and what a good result would look like.

4. Agree on a clear next step

Do not end the conversation without one. It could be a meeting, site visit, quote, demo or follow-up date. Record it and set a reminder.

5. Follow up more than once

Many sales need several useful touchpoints. A simple sequence could be a check-in after two days, a helpful resource after a week and a final friendly note after two weeks.

6. Close the loop

If the lead becomes a customer, welcome them properly. If not, record why. Over time those reasons help you improve marketing, pricing and the sales process.
